JMM Policies and Statements

Videotaping/Recording Policy

All sessions and lectures will be recorded with the exception of informal sessions and posted on the Meeting Platform approximately two weeks after the JMM ends. The recordings of the plenary talks will be posted on the JMM YouTube Channel as well. Recordings of sessions and lectures in which the presenter opted out of being recorded will not be posted anywhere after the meeting. Any recordings of informal sessions will never be uploaded or posted. Downloading of recordings will not be allowed and the JMM cannot provide copies for sharing, unless a speaker submits a special request for their talk (only).

All registered participants will be able to watch recorded sessions within two weeks after the JMM ends. All data collected in Conference Exchange (Confex), provider of the Virtual Meeting Platform, for the JMM will be considered the intellectual property of AMS and MAA and they will not keep any data or recordings for any private use.

Confex will enforce the standard privacy policies of both the AMS and MAA and their own corporate policies prohibit any of their staff from releasing client-confidential data to other parties without the explicit written approval of AMS and MAA.

Any recordings posted on the Meeting Platform will remain there for approximately 3 months (exact date tbd) and then deleted. Any recordings posted on the JMM YouTube Channel will remain there indefinitely unless staff deletes them.

Welcoming Environment Policy

The AMS and MAA strive to ensure that participants in the JMM enjoy a welcoming environment. In all its activities, the AMS and MAA seek to foster an atmosphere that encourages the free expression and exchange of ideas. The AMS and MAA support equality of opportunity and treatment for all participants, regardless of gender, gender identity or expression, race, color, national or ethnic origin, religion or religious belief, age, marital status, sexual orientation, disabilities, or veteran status.

Harassment is a form of misconduct that undermines the integrity of the AMS and MAA, and their activities and missions.

The AMS and MAA will make every effort to maintain an environment that is free of harassment, even though it does not control the behavior of third parties. A commitment to a welcoming environment is expected of all participants of JMM activities, including mathematicians, students, guests, staff, contractors and exhibitors, and participants in scientific sessions and social events. To this end, the AMS and MAA will include a statement concerning its expectations towards maintaining a welcoming environment in registration materials for the JMM, and has put in place a mechanism for reporting violations. Violations may be reported confidentially and anonymously to 855-282-5703 or at www.mathsociety.ethicspoint.com. The reporting mechanism ensures the respect of privacy while alerting the AMS and MAA to the situation. Violations may also be brought to the attention of the AMS Director of Meetings & Conferences (during the meeting), and that person can provide advice about how to proceed.
